Freelance Proposal Clinic: A Spreadsheet Brief and an Annotated Reply

Read a complete cleanup brief, diagnose a weak proposal and adapt a scoped response with an explicit question about conflicting records.

A proposal becomes useful when it connects a specific output with evidence you can provide. This clinic uses a spreadsheet-cleaning brief, so the sample, questions and acceptance checks all concern data. It is an original teaching exercise, not a proposal proven to win a contract.

The complete fictional brief

“We have a 200-row order export. Product labels and payment statuses are inconsistent. Please supply a cleaned CSV and an issue log, keeping a trace to the source. Do not guess missing quantities or ambiguous dates. We need a first version three working days after the file and rules are agreed. There is one consolidated revision round. Dashboard design and contact with customers are outside scope.”

The brief specifies the intended output, but it still leaves one important question: what should happen when the same order ID contains different values? A response should identify that before promising a final unique-order count.

Why a generic response fails this brief

Dear sir, I am an expert in all Excel work. I will remove every error and guarantee 100% accuracy today. I can do unlimited revisions at your lowest price.

This does not mention an issue log or source trace. “Remove every error” can mean deleting the records the buyer needs to investigate. The deadline ignores input availability, and unlimited revisions makes the scope unknowable. None of the claimed expertise is inspectable.

An example response you can study

Hello, I can prepare a cleaned CSV and a separate issue log from your 200-row export, keeping a source-row reference for every retained order. I would normalize only the labels and formats we agree, and flag missing or conflicting values instead of filling them with guesses.

My linked sample is a fictional 20-row exercise. It shows raw data, the cleaned answer and an issue log, including an ambiguous date and a duplicate. It demonstrates my approach; it is not a paid client result.

Before confirming the estimate, please share a non-sensitive sample and the allowed product/status values. If two rows share an order ID but differ in quantity or price, should they be retained for review rather than merged?

After we confirm the file and rules, I can schedule the first version for three working days later, followed by one consolidated revision round within those rules. The output is two CSV files and a short handoff note. Dashboard design, recovering missing source facts and contacting customers would need a separate scope.

Do not send the wording unchanged. A real response needs your actual capacity, sample and platform-permitted payment arrangement.

What each part does

PartWhy it matters for this brief
“Cleaned CSV and issue log”Matches both requested files
Source-row referenceMakes corrections traceable
Labelled practice sampleShows inspectable work without invented employment
Conflicting-ID questionExposes a rule the brief has not settled
Start conditionPrevents a missing file from silently consuming the delivery window
Revision boundarySeparates correcting the work from adding a new project

Estimate the complete task

Time a representative sample, then allow separately for importing, checking, communication, revisions and handoff. A 200-row file with twenty ambiguous rules may take longer than a larger clean export. Row count is one input, not a reliable price by itself.

State a price only once the unknowns that materially change the work are resolved. When using a marketplace, check its fees and contract or milestone requirements. A friendly message approving a draft does not by itself establish that funds are protected.

Check the response before sending

Open the sample as a reader without your login. Confirm the files download, the practice label is visible, and your claimed decisions appear in the sample. Remove any sentence that promises a result outside your control, such as guaranteed sales or a guaranteed interview.

Download the editable proposal clinic. It includes this brief, the example response and a blank structure. After applying, record the actual result in the application tracker. Silence alone does not identify which sentence, if any, affected the decision.

Practise the revision in a real editor

Try replacing the generic promise with a defined output, source trace and start condition. This local exercise checks a short list of risky phrases and missing brief terms; it cannot predict client acceptance.

Edit the spreadsheet proposal

Fictional brief: 200 source rows; cleaned CSV and issue log; preserve source references; flag unknowns; three working days after input agreement; one consolidated revision; no dashboard or customer contact.

Use the brief to write your own version, then review it.

The review looks for a small, published list of phrases. It cannot verify all facts or judge writing quality. Use fictional text here; entries are not saved by this tool. This page also includes third-party advertising.
